Whether you’ve been dragged kicking and screaming into the digital app world or have embraced the technology (like me), several event planning apps help ease the transition from print to digital. It can take some trial and error to figure out which ones work best for you, but here are the ones who helped me ditch the binder back in 2008 and never look back:
1. Adobe Reader: How many times have you been on the road and received a PDF contract that you couldn’t sign or edit? With Adobe Reader, you can drop in your signature, highlight the comp policy, and cross out that attrition clause from your mobile device.
2. Google Drive: With the Google Drive app, my files are accessible to my team and me, and I can control who can edit the documents. The app also allows you to make your records available offline, which is helpful in a convention center with limited Internet connectivity. I’m also a fan of Evernote and Dropbox for file sharing. Despite some similarities, I use all three.
3. Uber: If you have a last-minute (or new-to-you!) change with a VIP, you can use the Uber app to pick them up at the airport with a service that’s almost guaranteed to be better than a taxi ride. An event planner can partner with Uber to help all guests get around town with a discounted first-time ride code
4. Prezi: Let go of PowerPoint and use Prezi as your presentation platform. Ask your speakers to use it. Ask your staff to use it. And use this fun tool to present information to your team during pre-con. Don’t skip graphics!
